Responibility of Owning or Leasing a UA Vehicle



Vehicle License

When the U of A Garage receives a new vehicle it is licensed and titled to the State of Arizona. All U of A owned vehicles, carts and trailers must have a government license plate.



Insurance

Property Management will bill the annual cost of the State liability insurance directly to each department's designated FRS account. Insurance premiums are usually billed in November or December and the actual cost of the insurance varies from year-to-year.



Emissions

Emissions on gasoline vehicles can be performed by the Garage facility for a nominal fee. It is the responsibility of each individual department to insure that all vehicles are inspected on their annual inspection date. (Check the Emissions Certification sticker on the vehicle for the expiration date.) If the vehicle is due for its first emissions testing, have it performed onthe anniversary date of the vehicles purchase. The Garage can verify the annual inspection date for all vehicles that have had their emissions testing performed here, please call 621- 3028 if you need assistance or have any questions regarding vehicle emissions testing.


If your department decides to get your vehicle inspected at another certified inspection facility other than the U of A Garage it is the departments responsibility to notify the UA Garage of the passing inspection and to provide all of the documentation to the UA Garage within 48 hours of the completed test.


All of the documentation can be faxed to 520-621-5547. Please include a cover sheet containing the number of the vehicle, license plate, contact name and department phone number.


The FM Garage is not equipped to test diesel vehicles at this time. It is the driver's (departments) responsibility to get all diesel vehicles tested and to provide the appropriate documentation to the UA Garage. Emissions testing fees are the same for all vehicles: $12.25. Only cash, personal checks payable to the Arizona Department of Environmental Quality and prepaid coupons are accepted at inspection stations. The Garage has prepaid coupons for emissions testing. They can be obtained by calling the Garage at 621-3028 or 621-3530. The coupon will be issued to a repair order and the cost charged directly to your FRS account. Light-duty diesel vehicles can be tested at any of the three testing stations. Heavy-duty diesel vehicles (26,000 lbs GVW or greater, or any truck with tandem drive axels) must be tested at 6661 S. Renaissance, Tucson.

Safety Inspections

The State of Arizona and Arizona Board of Regents now requires all U of A owned vehicles to receive an annual vehicle safety inspection, this inspection is to be performed by the U of A Garage or a qualified inspection facility that employs ASE certified mechanics. This inspection is to include all vehicles, trailers, golf carts, leased and USDA vehicles.


When an outside vendor performs the inspection, the vendor is required to complete a U of A Garage vehicle inspection form, you may request a copy by calling 621 - 3028. After completion of the inspection and associated repairs all documentation must be faxed to 621 - 5547.


Fuel Cards

When you purchase a new department vehicle the U of A Garage issues a fuel card for the vehicle. It is your department's responsibility to track the users and usage of this card. If this card is lost or stolen please notify the U of A Garage in writing immediately. All account numbers are stored in the magnetic strip on the gas card, any changes in account numbers can be done by bringing the card to the U of A Garage along with the appropriate letter from the department authorizing the account number changes. Any changes to your account number must be in writing and faxed to 621 - 5547.


Annual Fleet Data Report

The U of A Garage is responsible for providing all data associated with vehicle acquisition, disposal and usage to the Arizona Department of Administration each July. It is each department's responsibility to track fuel usage (gallons, cost), alternative fuel usage (gallons, cost), repair costs, beginning and ending odometer readings. (Please note that it is imperative that new vehicles be accurately added to the database. If you have purchased an alternative fuel vehicle be sure that it is entered as alternative fuel vehicle.)


Repairs

It is the responsibility of the department to have general maintenance performed on any State of Arizona vehicle. Repairs performed at other facilities must be reported to the U of A Garage. Invoices and any other repair documentation must be faxed to 621 - 5547.
